Apply to Volunteer

How do I apply to Volunteer?
Visit our Volunteer Application on or after January 4th 2019. Once submitted, please wait up to 48 hours for processing/approval (on normal business days) in order to self-schedule your shift(s). The link to self-schedule will be included in your "Your Application Was Processed" email, or you can click on login under "Self-Scheduling" in the navigation bar if your Application has already been processed.
When does my Volunteer Application get approved?
Typically within 48 hours after submission, often sooner, during normal business days. Once approved, you will receive an email with your self-scheduling link with the subject "Your Application Was Processed."

Conference Registration

Should I register for the conference?
No. Volunteers should NOT register for the conference via the normal channels (SHRM.org/mail/phone). We send a link to our Volunteer Registration Forms to each Volunteer Applicant that we process, along with instructions. You will receive a confirmation after SHRM proccesses your registration form.

Volunteers should use the "Partial Conference Registration Form" to simply exchange shift(s) for free day(s). Volunteers who have scheduled three shifts or Volunteers who wish to purchase a deeply-discounted Full Conference Registration should complete the "Full Conference Registration Form." Note: Only Full conference registrations include a Tuesday Night Show ticket, Conference Bag and Expo Lunches.
How do I register for the pre-conference workshops/SHRM Certification?
Please fill out our "Get in touch" contact form in the "Contact" link and we'll forward your request to SHRM Customer Care to assist.
What if I have already registered for the conference?
There is a reimbursement process in place once your Volunteer application has been processed and you've selected your shifts. You can access our self-scheduling system from the link emailed to you in the "Your Application has been processed" email/pdf.

Once you've scheduled your shift(s), please email us with a request for reimbursement. Please indicate the amount and any other payment information you have (who the check was from, check #, name of registrant (you), etc.). You can use the "Get in touch" contact form in "Contact" (above) or reply to the email address from "Your Application Was Processed" email.

We will forward that request to SHRM Customer Care to handle the processing of your refund, once we've verified the number of shift(s) you've scheduled.
How do I get into the conference when I want to attend sessions? I'm only volunteering one or two days.
You must sign-in at the Volunteer Lounge (Location TBA) each day. As a Volunteer, you may attend the conference for the remainder of the day before or after your assigned shift. If you are attending a full day of sessions, you may use your Volunteer or Full Conference Badge as entry once you have checked-in at the Volunteer Lounge.
How do I attend special sessions or sign-up/pay for additional conference activities?
If you wish to sign up for pre-conference sessions, the guest program, attendance at the Expo only or get additional concert tickets, you may do so on the special Volunteer Registration Form. The link to the forms will be emailed to you with "Your Application Was Processed" email.
How do I register, get my badge, Volunteer shirt, etc.?
Check into the Volunteer Lounge (Location TBA) when you arrive at the Las Vegas Convention Center. Conference Bag/Badge Pick-up for Volunteers is located in the Volunteer Lounge, not at Attendee Registration.
Am I going to receive a confirmation after emailing the special Volunteer Registration Form?
Yes, you do receive confirmation after SHRM proccesses your special (Volunteer) Conference Registration Form, usually within a week of submission. If you did not receive your confirmation after one week, please email us via our "Get in touch" contact form (see "Contact" link above in the site navigation).

My Volunteer Schedule

How do I see/confirm/view my schedule?
To see your volunteer schedule, visit: "My Schedule". You'll need your email address (Login Name) and the password you chose in your application to sign-in. If you forgot your password, there's a link on that page to send you a reminder via email. Check your schedule the night before or morning of each shift in case of any last minute changes.
What if I don't have all the shifts I applied for?
If you don't see a shift that you requested on your "My Schedule" calendar, you may not have completed the click-through confirmation process, or you were reassigned due to scheduling changes or needs (though you would have received an email in that case.) Note: The "My Assignments" area simply shows what you requested or previously scheduled, Team-wise; "My Schedule" shows your actual scheduled shifts. You can look for additional shifts that may be available if you are a 1-shift Volunteer.
What happens if I don't work my assigned Volunteer shift?
The Volunteer Logistics Team are required to report Volunteer hours to the SHRM staff. If you don't work your assigned shift yet took advantage of free day(s) or the Volunteer discount on a full conference, you will be billed the additional fees. If you do not sign in each day at the Volunteer Lounge (Location TBA), you could be billed for days you actually volunteered. Be sure to sign-in and out each day!
When do I report for my shift?
On time. Eating times are built into your shift(s). Volunteer meals are served in the Volunteer Lounge (Location TBA). (see “How do I see my Schedule” above)
Where do I report for my shift? / Where do I sign-in as a Volunteer?
Always sign-in and await your Team Leader(s) for your assignment/location(s) in the Volunteer Lounge (Location TBA). You’ll receive a Volunteer PIN with your badge to sign-in/out on our tablets. Always sign-out at the end of your shift provided the Volunteer Lounge is open. Be sure to sign in and out each day you are volunteering to get credit for your shift on the tablets. If you are attending sessions before your scheduled assignment, you still need to pick up your badge in the Volunteer Lounge plus sign in and out for your free day(s) in the binders. You’ll receive a Volunteer PIN with your badge to sign in and out for your shifts.

Transportation/Hotels

How will I get there and where will I stay?
Volunteers are responsible for making all of their own travel arrangements. You can visit the SHRM conference site for a listing of hotels. Does SHRM offer discounted hotels for Volunteers?
Unfortunately, we do not offer discounts on hotel rooms for Volunteers. But, we still have many rooms available at great rates for SHRM19!

Transportation options to get to and from the convention center?
The shuttle schedule will be available in the #SHRM19 app to assist Volunteers getting to and from the Convention Center. If you have a very early shift, please make sure to verify if the shuttles are running at that time.

Volunteer Training/Orientation

What about Volunteer training? (+ link to the Volunteer Guide)
Volunteer Orientation will be held in Late May or Early June (typically.) See our NEWS section for more details and for the link to RSVP (also emailed to all Active Volunteers). If you can't attend, no worries...All Volunteers receive on-the-job training as well.
I'm not available for any of the scheduled orientation/trainings. What do I do?
For those of you who can't attend the pre-conference Volunteer Orientation, don't worry, we'll train you on-the-job. Make sure to download the SHRM App and view/download the Volunteer Guide (when available) that will be reviewed during the Volunteer Orientation. Familiarize yourself with the app, the layout of the conference and the "Conference at a Glance" link at annual.shrm.org Try to arrive to your shift a little early to give us ample time to make sure that you're well prepared!
Will I be receiving more information before the conference?

Volunteer Bag & Badge Pick-Up

How do I get into the conference when I want to attend sessions? I'm only volunteering one or two days and didn't pay for a discounted full conference registration.
You must sign-in at the Volunteer Lounge (Location TBA) each day. As a Volunteer, you may attend the conference before or after your assigned shift. If you are attending a full day of sessions, you may use your Volunteer Badge as entry once you have checked in at the Volunteer Lounge.
How do I get my badge, Volunteer shirt, etc.?
Check into the Volunteer Lounge at the Las Vegas Convention Center when you arrive, (Location TBA). Conference Registration for Volunteers is located in the Volunteer Lounge, not in the main Attendee Registration area.

Convention Center and Parking

Is Luggage/Item Storage available at the Las Vegas Convention Center?
The Las Vegas Convention Center utilizes many travel related services to make your trip in and/or out an efficient one. Visit their site at www.vegasmeansbusiness.com/
Where do I park?
Ample parking is available at the Convention Center, visit: www.vegasmeansbusiness.com/. There is currently no discounted parking arrangement for volunteers. Please revisit this FAQ for future updates.
Will there be Parking Fees for the Volunteers?
We recommend using the SHRM Shuttle Service (when available) for your shift(s). If you have an early shift, the SHRM Shuttle Buses may not be running, so please check the schedule at annual.shrm.org and in the SHRM Conference App carefully once it is posted (closer to conference). See above FAQ for parking locations and rates.
Are wheelchairs/scooters available for rent?
Information will be forthcoming as we get closer to conference. Check back here for an update.

Reporting to my Shift(s)

Where do I sign-in as a Volunteer?
All Volunteers need to sign-in the Volunteer Lounge (Location TBA) at the Las Vegas Convention Center unless your Assignment indicates "Direct Report" in the Assignment Name (in the self-scheduling system.) Be sure to sign-in and out each Volunteer day to get credit for your Volunteer shift(s) on our Tablets using your Volunteer Pin (assigned when you receive your badge). If you are attending sessions before your scheduled assignment, pick up your Volunteer Badge at the Volunteer Lounge and sign-in for your free day in our "Free Day" Binders.
What happens if I don't work my assigned Volunteer shift?
The Co-Chairs and Volunteer Logistics Team are required to report Volunteer hours to the SHRM staff. If you don't work your assigned shift and take advantage of the Volunteer discount or free day(s), you will be billed the additional fees. If you do not sign-in and out each day in the Volunteer Lounge, you could be billed for the days you volunteered.
I'm a Session Host or Ambassador...Where do I go?
Check in at the Volunteer Lounge to sign-in and eat (Location TBA)...You will be directed to your assigned room or to the Session Host Room from there, unless you receive other instructions via email (prior to conference) or via text message (during the conference)!
I am a Session Host...Can I request which Session(s) I get to host?
Unfortunately, we cannot accommodate special requests. With literally hundreds of Volunteers coming in, the scheduling of everything is a feat in itself! For this reason, your Volunteer Team Leaders don't have much latitude to manipulate the schedule to accommodate special requests.

Volunteer Meals and Breaks

Are meals provided?
Yes, a meal is provided at the start of your shift, so please arrive on-time or a little early to check in at the Volunteer Lounge (Location TBA). Only one Volunteer meal is provided per day, so please make sure that we have enough food for incoming Volunteers by only eating one meal at the start of your shift.
Are breaks provided?
Yes, most shifts get two 15-minute breaks, depending on their length.

Attending in my Free Day(s)

How do I attend my free day(s) of the conference?
Simply sign-in and sign-out in our Binders in the Volunteer Lounge (even if your free day(s) are before your volunteer shift(s). The Volunteer Lounge is located in Location TBA.
How do I register for additional conference activities, like the guest program or additional show tickets, etc.?
If you wish to sign up for pre-conference sessions, the guest program, attendance at the Expo only, get additional show tickets or sign-up for SHRM eLearning access, you may do so on the special Volunteer Registration Form. Dress Code

What do I wear?
We recommend khaki or black pants or shorts (knee length). You'll be provided a Volunteer Polo Shirt that must be worn at all times during your shift. Comfortable shoes are a must. Wear a light t-shirt before you get your Volunteer Polo Shirt (in the Volunteer Lounge). Remember, some meeting rooms may be cold, so pants and an outer layer are recommended.
Please do not bring anything valuable, as there are no storage or lockers available. Whatever you bring, you will need to carry with you, so we suggest a fanny pack or cross-the-body purse with a long strap that won't impede your movement. SHRM, YOUR HOSTING CHAPTER(S) nor anyone in the Volunteer Lounge can be responsible for anything that you may bring or leave lying around.

How do I apply for Recertification Credits?/Are Session Hosts eligible for SHRM Recertification Credits?
Volunteers are able to earn SHRM PDCs for volunteering at SHRM19. Each volunteer will receive a letter post-conference with the instructions for entering the PDCs that were earned. Session hosts will receive credit based on the number of sessions they attend. Full Conference Volunteers (3 Shift or Discounted Full Conference Registration Volunteers) receive 17.5 Recertification Credits.
